Schedule: Monday- Friday, 8:00am- 5:00pm
Reports to: Practice Manager
Job Summary: The Site Manager oversees daily office operations, ensuring efficient staffing, provider scheduling, and adherence to healthcare regulations. This role supervises and trains staff, conducts performance evaluations, and promptly addresses operational and employee workplace concerns maintaining at all times a patient-centric environment that is aligned with the mission of the practice. This role is responsible for also monitoring patient flow, optimizing workflows, and the resolution of patient care issues to maintain service excellence and high standards. This role is responsible for collaborating with leadership to implement policies, manage facilities, and drive operational improvements, ensuring a safe and efficient practice environment.
This position is based primarily in the Mansfield office location (OMG4) but will also require occasional travel to other locations in Manchester and Colchester, upon request of Practice Manager or Assistant Practice Manager to cover other offices, to attend meetings, or for trainings.
Essential position duties and responsibilities
Staff Management and Supervision:
- Supervise and manage staff, ensuring daily staffing needs are met while communicating essential information to providers, staff, and patients.
- Address staff issues as they arise and oversee timekeeping to ensure accurate payroll and compliance.
- Recruit, hire, train, and conduct performance reviews for staff, ensuring compliance with HR guidelines and collaboration with Lead Physicians and the Practice Manager.
- Monitor staffing levels and adjust as needed based on productivity and practice demands.
- Ensure all staff adhere to practice policies, including patient-friendly interactions, and compliance with the mission statement.
- Promptly document and report all incidents to the Practice Manager.
Clinical Guidance:
- Attend and actively participate in monthly clinical meetings. Attend Medical Assistant meetings and provide feedback.
- Ensure adherence to safety standards and implement strategies to improve patient care quality.
- Address patient complaints and concerns related to clinical care, ensuring prompt resolution and maintaining high patient satisfaction.
Scheduling & Provider Coordination
- Manage provider schedules, ensuring contract obligations, call coverage, office coverage, and vacation approvals are met in collaboration with the Assistant Practice Manager.
- Optimize provider schedules by implementing approved template changes and ensuring maximum capacity utilization.
- Ensure accurate entry of schedules into the scheduling systems.
Operations & Workflow Management
- Support efficient patient flow by coordinating staff and resources while actively contributing to daily operations.
- Work closely with the leadership team to ensure staff know who to go to in their absence.
- Implement and execute new projects and initiatives as rolled out by the Practice Manager and Physicians.
- Oversee facilities and premises management to ensure a safe and efficient working environment.
Compliance & Policy Adherence
- Ensure compliance with all government regulations and practice policies.
- Maintain adherence to HR and operational policies, including timekeeping, dress code, and patient care standards.
- Perform other duties as assigned.
Skills/qualifications
- 5+ years of related experience, preferably in an OB/GYN environment.
- Experience supervising clinical and administrative staff.
- Proficiency with EMR systems and software applications, including Microsoft Office Suite.
- Strong knowledge of healthcare regulations (HIPAA, OSHA and state-specific guidelines).
- Understanding of OB/GYN clinical workflows, procedures and terminology preferred.
- Strong problem solving and decision-making skills.
- Ability to work collaboratively with physicians, clinical and administrative teams.
- Excellent verbal and written communication skills.
- Ability to handle confidential information with discretion.
- Strong organizational and interpersonal skills.
