Position: Laboratory Operations Coordinator

Employment: Temporary (four months) full-time
Schedule: Monday- Friday, 8:00am- 5:00pm
Reports to: Senior Director of Laboratory Operations and Interoperability
Job Summary: Women’s Health CT, a proud affiliate of Unified Women’s Healthcare, has an immediate opening for a Laboratory Operation Coordinator. This position provides essential support to the overall lab operations overseeing the prior authorizations, providing education and training to Physician practices, and developing standard operating procedures. This position will conduct site visits as needed. This position is a hybrid work arrangement with two days per week in the office located in Rocky Hill, CT.
Position duties and responsibilities:
- Provide continuous education to divisions regarding WHC’s laboratory operations.
- Facilitate divisional training on lab-related Athena processes.
- Review daily reports from benefits verification vendor; identify patients who need an “out of scope” prior authorization and ensure prior authorizations are subsequently submitted when the order is placed; serve as primary point of contact for benefits vendor; deliver training on any new/modified workflows.
- Oversee prior authorization process; serve as primary point of contact for prior authorization vendor; ensure authorizations are submitted and followed up upon timely; contact divisions when prior authorizations are denied or delayed.
- Manage list of insurances requiring prior authorization and provide updates to the Athena Support Team.
- Review specimens received report daily to confirm compliance with patient consent process; follow up with divisions on any missing consents, payments, or clarifications needed.
- Develop SOPs for new/modified workflows and create supporting documentation.
- Conduct site visits to acclimate new divisions and to strengthen collaborations and visibility with existing ones.
- Update vendors and the lab team with monthly provider database updates.
- Attend monthly meetings with the lab team and contracted vendors; provide feedback and discuss opportunities for improvement.
- Serve as liaison between Quest, divisions, and the CBO teams (Correspondence, Posting, Coding) as needed: Specimen issues, Phlebotomy issues, Test orders/results, Billing issues, Assist with division issues requiring escalation, Review/update lab routing rules with Quest.
- Other duties as shall be assigned
Skills/qualifications:
- Bachelor’s degree preferred.
- Healthcare experience required.
- Knowledge of laboratory services a plus.
- Knowledge of Athena EMR preferred.
- Strong Communication skills.
- Attention to detail.
- Strong skills in Microsoft Office/Excel.
- Exceptional written communication skills.
